Quick reference checklists for common signing agent situations.

Last-Minute Signing (Little or No Prep Time)
- •Confirm appointment time, location, and signer name(s)
- •Verify you have the correct documents to print
- •Check your notary supplies (seal, journal, pen, ID guide)
- •Review signing instructions from title/escrow
- •Note scanback and return requirements before leaving
Printing or File Access Issues
- •Contact the title company immediately to report the issue
- •Ask if they can resend documents or provide alternate access
- •If printer fails, locate a nearby print shop or library
- •Verify file format compatibility (PDF preferred)
- •Keep contact info for backup print locations on hand
Loan Package Received Late or Incomplete
- •Contact title company to confirm you have the full package
- •Ask for expected page count or document list
- •Do not proceed if documents are clearly missing
- •Inform signer of delay and provide updated ETA if possible
- •Document the delay and any instructions from title
Already En Route / At Location
- •Stay calm and assess the situation
- •If documents are incorrect, contact title before proceeding
- •If signer is unavailable, confirm reschedule instructions
- •Note any trip charges or fees per your agreement
- •Do not rush through the signing due to time pressure
Returning Documents (Scanbacks and Drop-Off)
- •Review signing instructions for scanback requirements
- •Scan and send required documents immediately if specified
- •Use a clear, well-lit scanner or scanning app
- •Confirm shipping carrier and deadline for overnight packages
- •Keep tracking numbers and delivery confirmation
